File Server to SharePoint and OneDrive Migration

The challenges

  • Long paths and deeply nested folders often exceed SharePoint limits as they are.
  • Years of folder-level permissions were given to individual users instead of groups.
  • A large share of file server data is usually stale and shouldn't be migrated at all.
  • Each folder needs a destination: OneDrive, a Teams channel or a SharePoint site.
  • People used to the "S: drive" need guidance to change how they work.

How we do it

  1. 1Scan and assessment: volume, file types, path length, permissions and last access date.
  2. 2Cleanup plan: archive or delete stale data before migrating, reducing time and storage.
  3. 3Information architecture: map departments and projects to SharePoint sites, Teams and libraries.
  4. 4Permissions redesign: move from user-level permissions to groups aligned with the new structure.
  5. 5Pilot: one department migrates first to validate structure and permissions.
  6. 6Migration with delta syncs: bulk copy first, then only changes at cutover, with Microsoft Migration Manager or enterprise tools.
  7. 7Cutover and adoption: set the old shares to read-only, sync libraries and train users.
